EV Executive Transfers Sussex
1. Booking & Confirmation
All reservations must be confirmed in writing by an authorised representative of EV Executive Transfers Sussex. Confirmation will usually be issued by email, and clients are required to carefully check all details provided. A return email confirming accuracy is essential; without this, the company cannot accept liability for errors such as incorrect flight details, addresses, or contact numbers. If we do not receive a bounce-back notification, all emails will be deemed delivered, even if filtered by junk or spam systems.
2. Quotations & Amendments
Quotations are valid for 24 hours from issue. Any changes to a booking from that originally quoted may result in revised charges.
3. Payment Terms
All journeys must be paid for in full prior to travel. Accepted payment methods include bank transfer, debit and credit cards, cash, and cheque (with time allowed for clearance). Card details are stored securely, and additional charges (such as waiting time or cleaning fees) may be debited after the journey if required.
4. Vehicle Allocation & Luggage
Clients are responsible for booking the appropriate vehicle for passenger numbers and luggage requirements. For safety reasons, luggage cannot be stored inside the cabin and must fit within the boot. If an unsuitable vehicle is selected, additional costs and delays may occur. Our team will be happy to advise on the most appropriate choice.
Vehicle categories include:
Standard Passenger Vehicle: Saloon, estate, or people carrier depending on availability.
Requested Saloon: May be requested at no extra cost, but subject to availability.
Executive Saloon (extra charge): Guaranteed Mercedes E-Class or similar, accommodating 2 cases and 2 hand luggage.
5. Journey & Service Standards
EV Executive Transfers Sussex strives for punctuality at all times. However, we cannot be held liable for delays caused by circumstances outside of our control, such as traffic, weather, or unforeseen events. At peak times, subcontracted vehicles may be used to maintain service standards. Whilst every effort will be made to supply the requested vehicle, a suitable alternative may be provided if necessary.
6. Routes
Our chauffeurs will select the most appropriate route on the day, taking into account live traffic conditions and local knowledge, unless specific instructions are provided by the client at the time of booking.
7. Waiting Time & Parking
Address collections include up to 15 minutes waiting time.
Airport and seaport collections include up to 30 minutes waiting after arrival.
Additional waiting time is charged at £70 per hour (or part thereof).
A minimum airport parking fee of £15 applies.
Chauffeurs will not wait in restricted areas where fines apply. If instructed to do so, the hirer accepts full responsibility for any penalties incurred.
8. Passenger Responsibilities
All passengers must wear seat belts. Injuries sustained due to failure to do so will not be covered by our insurers.
Vehicles will never carry more passengers than licensed or insured.
A minimum cleaning fee of £250 + VAT applies in the event of soiling, spillages, or sickness.
Property is carried entirely at the owner’s risk, and EV Executive Transfers Sussex does not accept liability for loss or damage.
Parents/guardians must supply and fit car seats for children in accordance with the law. Seats may be stored free of charge at our office and returned on the return journey.
9. Health & Safety
Our chauffeurs will always drive safely and within legal limits. We reserve the right to refuse carriage to passengers under the influence of alcohol or drugs, or whose behaviour poses a safety risk. Abusive behaviour towards drivers or staff will not be tolerated. All vehicles operate under a strict non-smoking policy.
Child Seat Regulations (under 3 years old)
Front seat: A suitable child seat must be used. It is illegal to use a rear-facing seat with an active airbag.
Rear seat: A suitable child restraint must be used, unless one is unavailable in a licensed private hire vehicle, in which case the child may travel unrestrained in the rear.
Drivers are legally responsible for ensuring children are correctly restrained.
10. Cancellations
More than 24 hours before travel: no charge.
Less than 12 hours before travel: full quoted fare will be charged.
Non-attendance (“no shows”) will be charged in full.
All cancellations must be made in writing (email or telephone accepted).
11. Complaints
We are committed to delivering a seamless, professional experience on every journey. If you wish to raise a concern, please submit this in writing within 30 days of travel via email.
